This Guide will walk you through your security settings on your email program. When you have completed this guide, your email password will be encrypted whenever you read or send messages.
What is Your Email Address?
Select Your Email Program
Select the icon below that matches the program you use to check your email. Each program has specific instructions. If you do not see your program below, choose 'General Information'
General Information
Generally, it's better for people to use IMAP. It synchronizes email between their device and the server, so if they have multiple devices or their device is damaged/reset, they don't lose their emails. POP is useful if they don't want their devices synchronized to each other, or if they want to keep a lot of large emails (which would use up their quota).

Windows Mail
Open Windows Mail. Click Accounts on the left, then select the account in the right pane.

Click 'Change mailbox sync settings'.
Scroll to the bottom and click 'Advanced mailbox settings'. Here are the settings:

Click Done. Type in your password and click Save.
Try sending yourself an email. If it works, congratulations! You are finished securing your email.
Live Mail
Open Windows Live Mail. In the folder list on the left, right-click on the account name and click Properties.

Click on the Servers tab and look at what is in the first box. What does it say?
My incoming server is a IMAP server. or My incoming server is a POP3 server.
IMAP
The settings should match the following:

Click the Settings button. Make sure 'Use same settings as my incoming mail server' is selected, and click OK.
Next, go to the Advanced tab. Check the top two SSL checkboxes, then make sure the port numbers are 465 and 993.
Click OK to get back to the main window.
Try sending yourself an email. If it works, congratulations! You are finished securing your email.
POP3
The settings should match the following:

Click the Settings button. Make sure 'Use same settings as my incoming mail server' is selected, and click OK.
Next, go to the Advanced tab. Check the top two SSL checkboxes, then make sure the port numbers are 465 and 995.
Click OK to get back to the main window.
Try sending yourself an email. If it works, congratulations! You are finished securing your email.
Outlook 2007
Go to Tools > Account Settings
Double-click on the account name to change the settings.
Underneath Server Information, look at the value next to Account Type. What does it say?
Outlook 2010/2013 and early versions of 2016:
Go to File > Account Settings > Account Settings.

IMAP
Fill out the information to match the settings below.

Click on More Settings.
Click on the Outgoing Server tab. Make sure the checkbox and top radio buttons are selected.
Click the Advanced tab. Make sure both dropdown menus say SSL, then put 993 for the Incoming server port and 465 for the outgoing server port.
Click OK, Next, and Finish.
Try sending yourself an email. If it works, congratulations! You are finished securing your email.
POP
Fill out the information to match the screen below.

Click on More Settings.

Outlook 365/2019/later versions of 2016
Go to File > Info. If you have more than one account, click the account name to select the correct one.
Observe whether the line under your account name says IMAP/SMTP or POP/SMTP. You'll need this information in a moment.

IOS Mail
Go to the Settings app.
Scroll down to General > About. Observe the software version. Tap < General and < Settings to get back to the main settings screen.
Where you go next depends on which version you have.
- IOS 14 or newer: Scroll down to Mail > Accounts. Tap your account name.
- IOS 11-13: Scroll down to Accounts and passwords. Tap your account name
- IOS 10: IOS 10 only lets you change settings if your password is reset. Contact us to reset your password, then open the Mail app. There will be an error message at the bottom of your screen that allows you to change the settings.
- IOS 9 or older: Scroll down to Mail, Contacts, Calendars for IOS 9.Tap your account name.
Figure out what type of account you have set up, because the instructions are different for each account type. If it's an IMAP account, it will say IMAP just above the account name. If it is POP, there will be a section called 'POP ACCOUNT INFORMATION'.

IMAP
Tap your account name again. Verify the information on this screen is correct.

Next, tap on SMTP and tap on the primary server (mail.domainname.com).

Make sure the host name is mail.domainname.com, the user name is your email address, the "Use SSL" slider is green, "Authentication" is set to Password, and the server port is 465.

Tap Done. Tap < at the top left to get back to the account screen.
Tap on Advanced, then scroll down to the Incoming Settings section. Verify that SSL is enabled, "Authentication" is set to Password, and port 993 is selected.
Tap < Account at the top left and Done at the top right. It will verify that the settings are correct. If everything verifies, congratulations! You are finished securing your email. You can close the settings app.
POP
Verify the information on this screen is correct:

Next, tap on SMTP and tap on the primary server.

Mac Mail
In the Mail app, choose Mail > Preferences > Accounts > Server Settings. Make sure the settings match the following:
Incoming Mail Server
User Name: email@domainname.com
Password: your password
Host Name: mail.domainname.com
Automatically manage connection settings should be checked. This will allow mail to choose the best security settings available.
Outgoing Mail Server
If necessary, choose your account from the drop-down menu.
User Name: email@domainname.com
Password: your password
Host Name: mail.domainname.com

Thunderbird
Outgoing Settings
Open Thunderbird. Right-click on your email address in the left pane and choose Settings.

In the main pane, scroll down to Outgoing SMTP Server and click 'Edit SMTP Server'

Make sure the Server Name is mail.domainname.com, the Port is 465, Connection Security is SSL/TLS, and Authentication method is Normal password.

Click OK.
Incoming settings
If you're not already in the Account Settings window, right-click on your email address in the left pane and choose Settings.
In the left pane, click Server Settings.

Look at the Server Type. What type is it?
IMAP Mail Server
Check the settings to match the settings below.
Server Name: mail.domainname.com
Port: 993
User Name: your full email address
Connection Security: SSL/TLS
Authentication method: Normal password

Try sending yourself an email. If it works, congratulations! You are finished securing your email.
POP Mail Server
Check the settings to match the settings below.
Server name: mail.domainname.com
Port: 995
User Name: your full email address
Connection Security: SSL/TLS
Authentication method: Normal password

Gmail.com
Note: These instructions are for the Gmail web site. If you are using the Gmail app on a tablet or phone, we do not have specific instructions for you at this time. Please view the General Info section.
On a computer, open a web browser and sign into gmail.com.
Go to Settings (the gear icon near the top right of the page), and click on "See All Settings".
Click on "Accounts and Import".
Scroll down to "Check mail from other accounts". Make a note as to whether the account says POP3 or IMAP.
Click on "edit info".
Type in your password.
Check the box that says "Always use a secure connection (SSL) when retrieving mail."
If your account was POP3, change the port number to 995. If it was IMAP, change the port number to 993.
Click "Save Changes".
You should be back on the settings page, under Accounts and Import.
In the section "Send mail as:", click "Edit Info" next to your email address.
Click "Next Step" to get to the "Send mail through your SMTP server" screen.
On this screen, select port 465 for the port number, enter your password, and select "Secured connection using SSL".
Click "Save Changes".
Samsung Mail
In the email app, tap the settings (gear) icon . If you do not see the settings icon, click the sandwich icon
to show it.
In the account list, tap on your account.
Scroll to the bottom and tap "Server settings" under Advanced settings.
Verify that the user name is your email address.
Next, under Incoming Server, does it say IMAP server or POP3 server?
IMAP Server
Under Incoming server, make sure the IMAP server is mail.domainname.com, the Security type is SSL, and the Port is 993.
Under Outgoing server, make sure the SMTP server is mail.domainname.com, the Security type is SSL, and the Port is 465.
Also, "Require authentication" should be turned on. Fill in your email address and password below that.

Tap Done. It will check the settings. Once they are good, tap the < symbol at the top left a couple times to get back to your Inbox. You are now finished securing your email on this device.
POP3 Server
Under Incoming server, make sure the POP3 server is mail.domainname.com, the Security type is SSL, and the Port is 995.
Under Outgoing server, make sure the SMTP server is mail.domainname.com, the Security type is SSL, and the Port is 465.
Also, "Require authentication" should be turned on. Fill in your email address and password below that.

Tap Done. It will check the settings. Once they are good, tap the < symbol at the top left a couple times to get back to your Inbox. You are now finished securing your email on this device.
